- Payment Information: processed securely by our third-party payment processor, Stripe. We do not store your full payment card details.
- Communications: information you provide when contacting us for support or feedback.
Information Collected When You Use the Service:
- Meeting Content: audio/video feeds, chat messages, screen shares, shared files, recordings, transcriptions, and AI-generated notes (if enabled).
- Meeting Metadata: date, time, duration, meeting ID, participant names/emails, and meeting settings.
- Usage Data: features used, time spent in meetings, participants invited, actions taken, and technical diagnostics.
- Technical Data: IP address, OS, browser type, device identifiers, connection info, and WebRTC/SFU performance diagnostics (packet loss, jitter, latency).
Information Collected from Third Parties: if a meeting host adds you to an invitation, or if third-party analytics providers share usage information with us.
03 How We Use Your Information
To Provide and Operate the Service: facilitating calls via WebRTC and our multi-region SFU architecture, connecting participants, managing sessions, and account access.
To Enable AI Features: processing meeting audio, video, and chat solely to generate transcriptions and notes/summaries for that specific meeting, made available to participants within the Service.
To Improve and Develop the Service: analyzing usage patterns and technical data (often aggregated/anonymized) to identify improvements, troubleshoot issues, and optimize our infrastructure.
To Manage Accounts and Process Payments: handling registration, login, and billing via Stripe.
To Communicate with You: service announcements, security alerts, support responses, and — where permitted — promotional communications.
For Security and Compliance: detecting and preventing fraud and abuse, enforcing our Terms, and complying with legal obligations.
04 How We Share Your Information
- With Meeting Participants: content shared during a meeting is inherently shared with other participants, including recordings, transcripts, or notes if enabled by the host.
- With Service Providers: hosting (across multiple regions), storage, payment processing (Stripe), support, analytics, and AI processing partners, all contractually bound to protect your information.
- Business Transfers: information may transfer as part of a merger, acquisition, or asset sale.
- Legal Requirements: disclosure in response to subpoenas, court orders, or to protect rights, safety, or prevent fraud.
- With Your Consent: we may share information with third parties when you explicitly agree.
05 Role of the Meeting Host
If you use KenMeet in an organizational setting, the organization's administrator (the "Host" or "Controller") may control your account and the data processed through it. In such cases, we act as a service provider (a "Processor"), while the Host's own privacy policies govern their collection and use of your data. We are not responsible for the privacy or security practices of your Host organization.
06 Data Retention
We retain information as long as necessary to provide the Service, maintain your account, meet legal obligations, and enforce our agreements. Account information is retained while your account is active. Meeting content (recordings, transcripts, notes) is retained per the host's settings or subscription plan, or until deleted. Usage logs and technical data are retained for varying periods based on their purpose.
07 Data Security
We implement technical and organizational measures — including encryption in transit and at rest, access controls, and regular security assessments — designed to protect your information. However, no method of internet transmission or electronic storage is 100% secure, and we cannot guarantee absolute security. Our multi-region architecture enhances availability and resilience, but also means data may be stored and processed in different geographic locations.
08 International Data Transfers
Because we operate multi-region infrastructure, your information may be processed in data centers in different countries. By using the Service, you consent to this transfer, even to countries with different data protection laws than your own.
If you are in the EEA or UK, and we transfer personal data outside those regions to countries without an adequate level of protection, we implement appropriate safeguards such as Standard Contractual Clauses.
